TErms & Policies
1. Scheduling, Cancellations, Safety, & Estimates
- Notice Period: We require 24 hours notice for any cancellations or rescheduling. Changes made with less than 24 hours notice may be subject to a cancellation fee.
- Scheduling: While we commit to a specific service date, we are unable to provide a guaranteed arrival time due to the nature of our work. Should unexpected delays affect your scheduled date, we will notify you promptly of the change.
- Weather & Emergencies: Severe weather or emergencies may cause services to be rescheduled.
- Estimates: All quotes are valid for 7 days. Final pricing for cleanups may be adjusted if the property condition changes significantly between the estimate and the start date.
- Right of Refusal: Our team reserves the right to refuse work in conditions deemed unsafe or unsanitary.
- Photos: Photos of the property may be taken before, during, and after service for documentation and marketing use. We will ensure that no sensitive personal information or house numbers are visible.
2. Maintenance Services
- Property Access: Please ensure all gates are unlocked and access is granted on your service day.
- Surcharges: Any lawns with unreasonably tall grass or an unreasonable amount of hazards/pet waste (at the servicer’s discretion) will be subject to an additional fee.
- Obstacles & Hazards: Please ensure the work area is clear of small objects (toys, hoses, tools) and pet waste. We do not move large objects (e.g., trampolines, pools, play equipment). To prevent accidental damage, we will not mow or line-trim directly against these items.
- Damage: We are not responsible for damage to items left on the lawn or hidden irrigation heads not flush with the ground.
Continued failure to clear pet waste, provide access, or remove hazards may result in the immediate termination of services.
3. Specialized Services
- Dethatching: Dethatching is a rigorous process that will temporarily make the lawn look "thinned out." This is normal and necessary for new growth.
- Aeration: Homeowners must mark all shallow irrigation heads, invisible dog fences, or shallow cables. We are not responsible for damage to unmarked underground utilities. Soil plugs will be left on the lawn to break down naturally and return nutrients to the soil. In areas of extremely rocky soil or thin topsoil over bedrock, core depth may be limited.
- Overseeding: Seed germination is highly dependent on consistent moisture and soil temperature. Once the seed is applied, watering becomes the client's responsibility. We do not guarantee 100% germination due to variables beyond our control, such as extreme weather, bird activity, or improper irrigation.
- Horticultural Vinegar: This service is weather-dependent and may be rescheduled last minute.
- Cleanups (Property, Spring, and Fall): “Cleanups" cover the specific tasks outlined in your quote. Additional tasks requested on the day of service may be billed at our hourly rate.
- Mulch Installations: Mulch is a natural product; color and texture may vary slightly between batches. Mulch is installed 2-3 inches deep and kept clear of woody stems and tree trunks to ensure proper airflow and prevent disease.
- Weeding: Our standard garden bed maintenance service includes weeding of garden bed areas. It does not include deadheading, cutting back perennials, trimming shrubs, installing mulch etc. This would be considered a one time service and can be booked separately.
- Sod Installations: Once installed, the survival of the sod is the client’s responsibility. Failure to water daily during the establishment phase voids any replacement guarantees.
- Underground Utilities: Clients must identify any private underground lines (lighting, shallow irrigation, invisible fences) before we begin digging for sod prep or garden bed edging.
- Debris Disposal: Our hauling service is strictly for organic yard waste (leaves, grass clippings, small branches, and hedge trimmings). We do not haul "heavy" or non-organic debris, including rocks, soil, or construction materials.
4. Payment Terms
- Invoices: Invoices will be sent day-of for specialized services, and monthly for maintenance services.
- Accepted Methods: Cash, e-Transfer, Cheque, or Credit.*
- Due Date: Payment is due within 14 days of the invoice date.*
- Late Fees: Invoices unpaid after 30 days will incur a late fee of 2% per billing cycle.*
- Service Suspension: All recurring work will cease until outstanding balances are paid in full.*
*Some exceptions may be made at management's discretion.
